🍽️ Ordering catering for a federal office reverses the usual order of operations. In a private office the menu comes first and the budget check comes second. In a federal one, the authority comes first, and it decides what the menu is allowed to contain. One published manual splits catered food into a meal and a light refreshment. That split decides whether appropriated funds can buy it. Read its approved list closely and a pattern appears that the manual never states: of the 16 items it names, every food arrives cold. All three foods it refuses by name arrive hot. 💡 A heavy plate at noon costs you the 2pm block, which is usually the hardest working stretch of an offsite. Ordering lunch for the office is a solved problem. You know the address, the kitchen, the fridge, the person at the front desk, and the caterer who has delivered there thirty times. Take the same team forty miles up the coast and every one of those supports disappears at once. So stop treating the day as one order. An offsite is a sequence: breakfast on arrival, a mid-morning break, lunch, an afternoon snack, and often dinner. Five decisions, each with its own format and dropoff time. The agenda sets the constraints on all five. A facilitated session gives lunch 45 minutes, and 45 minutes does not absorb a buffet line for 60 people. And the room is captive, which raises the cost of every miss. At the office, someone whose meal never arrived walks to a salad place and grumbles. 💡 Most keto office orders fail twice. First on carbs, then on fat. Someone orders a salad and calls it done. But candied pecans, dried cranberries, corn and a honey-mustard dressing can carry more carbs than a sandwich. Keto is a macro target, roughly 20 to 50 grams of net carbs for a whole day. That is one sandwich, or a cup of rice, or a single sugary coffee drink. Then the correction overshoots. A grilled chicken breast on undressed greens clears the carb ceiling and leaves people hungry by 2pm. Keto is fat-forward, not just carb-poor: olive oil, avocado, cheese, nuts and seeds, a full-fat dressing, fatty cuts of meat, salmon. The order that solves both is build-your-own. 💡 A team three hours from a release and a team sitting through an all-day workshop need different lunches. The difference has nothing to do with Thai or Italian. Most lunch lists start at cuisine. That is the wrong end. The day sets the constraints, the constraints pick the format, and cuisine is the last call you make. Four questions do most of the sorting. Can people leave their desks? If they cannot, you are ordering individual portions whatever else you decide. Does everyone eat in one window or a staggered one? Is anyone trying to hold a conversation while eating? And how long does the food actually have to hold? That last one catches people out. A 45-minute window and a four-hour window are different orders, not the same order left out longer. 💡 The date you have to decide by sits earlier than any kitchen's order cutoff. Nearly every venue that permits an outside caterer wants a certificate of insurance naming the venue's legal entity as an additional insured. That is not a box the caterer ticks. Their insurer issues an endorsement, and the endorsement takes days. A caterer can cook for you next week. A venue cannot approve one in that time. So settle the food policy in the same conversation as the room, not in the month before the event. Two more things the clause hides. The legal entity is not the trading name, so get the exact wording and pass it to the caterer verbatim. And the documents have to be current on the event date, which means a permit that passed when you filed it can still fail on the day. ⏱️ A published lead time is a promise about the hardest thing on the menu. A caterer who offers carved prime rib, a staffed pasta station and a sandwich platter sets one policy that protects all three. The platter inherits the prime rib's clock. So the policy tells you what the vendor guarantees, not what the shop can actually do. Those are different questions, and the second one gets answered by a person, not by a form. Three hours before lunch, roughly one in four caterers near you will still take the order. When a rush order does fail, it usually fails at the loading dock rather than in the kitchen.
