    Regardless of how great your ideas are in your virtual sales pitch, webinar, or team meeting… People are most likely checking their email, browsing social media, or working on other things while you present. How can you prevent that and actually get your audience to pay attention? Here are 4 of the most powerful techniques we use for our own virtual training courses: 1. Win the first five seconds According to research from the University of Toronto, people need only five seconds to gauge your charisma and leadership as a speaker. In virtual environments, this first impression is even more critical. To establish instant rapport: - Keep your posture open and inviting (avoid fidgeting, crossed arms, and closed-off postures) - Use open gestures that welcome the audience into your space - Gesture with your palms showing at a 45-degree angle - Speak with clear articulation and energy from the very first word The quickest way to lose your audience? Starting with tentative body language that signals you’re unsure or unprepared. 2. Design your presentation for virtual viewing When designing slides, assume varied viewing conditions. Design for the smallest likely device and the slowest likely Internet speed. Make your slides accessible by: - Using larger fonts (24-32pt) - Applying higher contrast colors - Limiting each slide to ONE clear idea - Adding more space between lines when using smaller text - Stripping excess content (you can provide additional information in a separate document) 3. Vary your delivery Our research shows the optimal length for linear presentations is just 16-30 minutes, while interactive ones can maintain engagement for 30-45 minutes. People’s attention will go through peaks and valleys during that time, so try these techniques to keep their attention: - Vary your speaking pace (faster to convey urgency, slower to express gravity) - Use intentional pauses to let key points land - Adjust your vocal tone (lower pitch for authority, higher for approachability) - Shift between slides, stories, and data at regular intervals Each change helps reset your audience’s attention and signals importance. 4. Build in structured interaction Don’t make your audience wait until the end of your presentation to interact. According to our research, presentations that incorporate audience engagement through polls, chat responses, or breakout discussions maintain attention longer. For the highest engagement: - Use a variety of interaction types throughout your presentation - Incorporate breakout rooms for small-group discussions - Switch modalities regularly to keep it interesting Remember: In virtual environments, you need to recreate the natural engagement that happens in person.     Think about the last presentation you sat through. Do you remember anything from it? Probably not. Most presentations fail because they are: ❌ Overloaded with bullet points ❌ Devoid of emotion ❌ Data dumps with no clear story The good news? You can make your presentation unforgettable with these 7 simple shifts: 1. Start with a Hook, Not an Intro Most presenters begin with "I'm excited to be here today..." and lose the audience immediately. Fix: Grab attention from the start. Example: “Your company is losing $10M a year—and you don’t even know why.” 2. Tell a Story, Not Just Data People remember stories, not statistics. Instead of listing facts, wrap them in a compelling narrative. Fix: Use the “Problem → Struggle → Solution” technique. Example: "Before using our system, Sarah’s team spent 3 hours a day on reports. She tried different tools, but nothing worked—until she found our solution. Now? Just 15 minutes a day." 3. Use Contrast & Surprise The brain is wired for novelty. If your presentation sounds predictable, people will tune out. Fix: Vary your tone, pace, and visuals. Drop in an unexpected question, statistic, or pause to keep them engaged. 4. Say Less, Mean More Too much information overloads the audience. They’ll remember nothing. Fix: Cut the fluff. Stick to one core message per slide, per section, per speech. 5. Make It Visual Bullet points don’t inspire. Images and metaphors do. Fix: Instead of saying “Our product is faster,” show a race car next to a bicycle. 6. End with a Bang, Not a Fizzle Most presentations end with “Thank you” and no real impact. Fix: Leave them with one key idea and a clear next step. Example: “If you only take away one thing today, let it be this…” 7. Master the Pause Most speakers talk too fast and leave no room for ideas to sink in. Fix: Silence is power.     I’ve been thinking a lot about the 90 minute virtual meeting paradox. We spend the first 30 minutes on welcoming everyone and introductions, the next 15 on framing, and then a few people share thoughts. Then, just when the conversation gets meaningful, the host abruptly announces "We're out of time!” and throws a few rushed closing thoughts and announcements together. Sound familiar? We crave deep, meaningful, trust-based exchanges in virtual meeting environments that feel both tiring and rushed. It seems like as soon as momentum builds and insights emerge, it’s time to wrap up. Share-outs become a regurgitation of top-level ideas—usually focused on the most soundbite-ready insights and omitting those seeds of ideas that didn’t have time to be explored further. And sometimes, we even cite these meetings as examples of participation in a process, even when that participation is only surface level to check the participation box.  After facilitating and attending hundreds (thousands?) of virtual meetings, I've found four practices that create space for more engagement and depth: 1. Send a thoughtful and focused pre-work prompt at least a few days ahead of time that invites reflection before gathering. When participants arrive having already engaged with the core question(s), it’s much easier to jump right into conversation. Consider who designs these prompts and whose perspectives they center. 2. Replace round-robin introductions with a focused check-in question that directly connects to the meeting's purpose. "What's one tension you're navigating in this work?" for example yields more insight than sharing organizational affiliations. Be mindful of who speaks first and how difference cultural communication styles may influence participation.  3. Structure the agenda with intentionally expanding time blocks—start tight (and facilitate accordingly), and then create more spaciousness as the meeting progresses. This honors the natural rhythm of how trust and dialogue develop, and allows for varying approaches to processing and sharing.  4. Prioritize accessibility and inclusion in every aspect of the meeting. Anticipating and designing for participants needs means you’re thinking about language justice, technology and materials accessibility, neurodivergence, power dynamics, and content framing. Asking “What do you need to fully participate in this meeting?” ahead of time invites participants to share their needs. These meeting suggestions aren’t just about efficiency—they’re about creating spaces where authentic relationships and useful conversations can actually develop. Especially at times when people are exhausted and working hard to manage their own energy, a well-designed meeting can be a welcome space to engage.     🌐 "How can we lead inclusive team meetings when our team is so widely distributed across timezones?" That's a question our #Inclusion Strategy team at Netflix has been reflecting on quite a bit lately – and that's surely not an issue we face alone. Here are some ideas that popped up as we put our geographically distance heads together to ensure that everyone has an equal opportunity to participate in discussions that are relevant to all: 1️⃣ Establish a Meeting Time Rotation: to ensure fair participation, create a rotating schedule for your meetings. This means alternating meeting times to accommodate different time zones, so that each team member has an opportunity to attend during their regular working hours on a rotating basis. 2️⃣ Consider Core Overlapping Hours: identify the core overlapping hours when the majority of team members are available. Aim to schedule important meetings during these hours to maximize attendance. This may require some flexibility from all team members, but it fosters a sense of shared responsibility for ensuring everyone's voice can be heard. 3️⃣ Prioritise Meeting Relevance: ensure that meetings are called only when it's essential for all team members to be present. Avoid scheduling meetings for routine updates that can be shared asynchronously, giving team members more flexibility to manage their schedules. 4️⃣ Create Pre-Meeting Materials: provide agendas, and key discussion points well in advance, so team members who cannot attend live sessions can still contribute their input asynchronously. This way, everyone can stay informed and engaged in the decision-making process. 5️⃣ Encourage Rotating Facilitation: consider rotating meeting facilitators to accommodate different time zones. This not only distributes the responsibility but also allows team members from various geographies to lead discussions and bring diverse perspectives to the forefront. 6️⃣ Use Inclusive Meeting Technologies: leverage virtual meeting tools with features like real-time chat and polling to foster engagement from all participants, regardless of their location. Consider having all meetings recorded by default (unless there's a compelling reason not to), streamlining access to the team immediately after each recording is ready. 7️⃣ Promote Open Feedback Channels: establish channels for team members to asynchronously provide feedback on meeting times and themes, and communication methods. 8️⃣ Acknowledge and Respect Personal & Cultural Differences: be mindful of cultural practices and observances that may impact team members' availability or participation. Strive to do the same about individuals' needs, too (like dropping kids at school). These strategies can help create an inclusive and equitable approach to meetings, enhancing the chances of all team members feeling valued and empowered to contribute.     In a world where attention is fleeting and virtual fatigue is real, how can you successfully host online events? Here are 9 essentials to keep in mind: 1. Start with a Compelling Opening Your opening should grab attention, set the tone, build anticipation and give people a reason to stay. 2. Make Eye Contact Look directly into the camera to create a sense of connection. If you're using a teleprompter or script, keep it at eye level to maintain that engagement. 3. Mind Your Facial Expression People are paying close attention to your face. They can see when you’re smiling, or when you appear bored, upset, or frustrated. Be conscious of your expression. 4. Manage Your Energy Your energy drives the entire experience. If you seem disengaged or flat, your audience will tune out. 5. Build Emotional Connections Use personal stories, relatable examples, and analogies. These human elements help your message resonate on a deeper level. 6. Engage the Audience Make your audience part of the experience. Use polls, Q&A, or chat prompts to keep them actively involved. 7. Be Clear and Concise Attention spans online are shorter. Get to the point quickly, and use clear language. 8. Use Visual Aids and Multimedia Use images, short videos, graphics, and animations that support your message. However, don’t overload your slides with text. 9. Check Your Tech Setup Poor lighting, audio, camera quality, or an unstable internet connection can lead to frustration and reduced participation.     I truly struggle to understand why turning on our cameras for virtual meetings isn't the norm. Yesterday, in a meeting out of 20, 18 had camera off. In a world where in-person connection is often impossible, video calls are the next best thing! Here's why I'm a big proponent of camera-on meetings: - Human Connection: Seeing faces builds rapport and trust. It adds a personal touch. We're social beings, and visual cues are crucial for effective communication. - Engagement & Focus: Let's be honest, it's easier to get distracted during an audio-only meeting. With cameras on, there's a greater sense of accountability and presence. It helps keep everyone engaged and focused on the conversation. - Nonverbal Communication: Facial expressions, body language, and subtle cues contribute significantly to understanding. Missing these can lead to misinterpretations and communication breakdowns. - Team Cohesion: Seeing each other's faces fosters a sense of community and connection, especially in remote teams. It helps build stronger relationships and a more collaborative environment. Some might say: - "I'm not comfortable on camera." Totally understandable. But there are solutions: ---- Virtual Backgrounds: These are a game-changer! They create a professional and consistent backdrop, minimizing distractions and privacy concerns. ---- Dress for Success (Even at Home): Dressing appropriately for work, even if you're working from home, can boost your confidence and make you feel more presentable. It also signals to your brain that it's "work time." Personally, I find that showering and getting dressed helps me focus and feel more motivated. I believe that making camera-on meetings the default option (unless there's a specific reason otherwise) would significantly improve communication and collaboration in our increasingly virtual world.     I succeeded as an executive in part because I knew how to command a room. Today, it’s not enough to show up strong in person. Here are 3 ways to build a strong video presence: Note: video presence isn’t just for people aiming for leadership roles. Video interviews are the default, so presence on video matters to anyone looking for a new job. Here are three direct actions I recommend to increase your online hireability: 1) Image and Location Don’t take video calls from the car or train, and turn your camera on. Make sure you are in a quiet, peaceful location with a neutral backdrop. You don’t need to be in a professional studio, but your environment should say “I am taking this seriously.” Practical truths: --If it is a small call and you already have credibility with everyone on it, you can get away with the occasional call from bad locations. Make this choice intentionally and sparingly. --You can go off camera only when you are truly a lurker, with no expectation of being asked anything or needing to say anything. You cannot have presence as a black screen. 2) Be animated Make eye contact, use gestures and facial expressions, and don’t speak in a monotone. If you want people to be engaged with what you are saying, you also need to be engaged. 3) Enjoy the conversation and be present If it seems like you would rather be somewhere else, your team (or the interviewers) will notice. They will be less compelled to support you, work for you, or hire you. Your energy and excitement is a lever- use it. It’s cultural. In many cultures, challenging a leader publicly can feel disrespectful. Speaking up might risk "losing face." So, instead of collaboration, you get cautious nods, and critical ideas die quietly. 💥 The cost? Missed feedback, hidden conflicts, derailed timelines, and talent feeling unseen and unheard. But it doesn’t have to be this way. 🚀 Here’s how to encourage real participation and build trust across cultures — starting today. 1️⃣ Invite opinions privately first. Many cultures value privacy and may hesitate to disagree publicly. Before the meeting, send out an agenda and ask for input by email or private chat. This gives team members time to reflect and feel safer sharing. 2️⃣ Create "round robin" sharing moments. During the call, explicitly invite each person to share, one by one. Use phrases like: "I’d love to hear a quick insight from everyone, no wrong answers." This reduces the fear of interrupting or "stepping out of line." 3️⃣ Model vulnerability as a leader. Share your own uncertainties or challenges first. For example: "I’m not sure this is the best approach — I’d really value your perspective." When you show it’s safe to be open, your team will follow. 4️⃣ Acknowledge and validate contributions publicly. After someone shares, affirm them clearly. For example: "Thank you for that perspective — it really helps us see this from a new angle." This builds psychological safety and encourages future participation. 5️⃣ Use cultural "mirroring" techniques.     Does “Packaging” still matter? The other day, a former client reached out, looking for a particular service provider. I immediately thought of someone I’d heard great things about—word of mouth was solid. They were known for doing excellent work. So I went online to find links to their social media pages and that’s where the problem started. Instagram? Mostly personal and church-related posts. Now, there’s nothing wrong with that, but there was little to nothing about their actual work. LinkedIn? Worse. There was no clear positioning, no compelling proof of expertise, nothing that would make an executive take them seriously. So, messaged them directly to ask for links showcasing their work. When they finally sent me something, the content itself was decent, but the packaging was off. The visuals were subpar. The presentation lacked polish. It just didn’t exude credibility—it didn’t match the standard that decision-makers are used to. And sure enough, when I sent it to the executive, the response was lukewarm. Here’s the thing: executives, especially baby boomers who built their reputations in a pre-digital era, need to understand that in today’s world, “packaging” is just as important as substance. People are accustomed to: ✅ High-resolution images that showcase professionalism ✅ Well-designed brochures that exude credibility ✅ Polished social media pages that demonstrate thought leadership If you’re a serious professional or entrepreneur looking to attract high-level clients, partners, or board roles, your digital presence must reflect the level of excellence you bring to the table. 4 Ways to “Package” Yourself for the Digital Era 1️⃣ Polish Your Online Presence • Your LinkedIn and Instagram should be aligned with your expertise. • Remove outdated, blurry, or irrelevant posts that don’t contribute to your professional brand. • Have a clear, compelling bio that tells people exactly what you do and who you serve. 2️⃣ Invest in Professional Visuals • First impressions matter. Your headshots, brand assets, and marketing materials should reflect quality and attention to detail. • Hire a photographer for high-resolution images and invest in clean, visually appealing designs. 3️⃣ Create Content That Demonstrates Credibility • Don’t just post about your work—package it in a way that resonates with decision-makers. • Share client testimonials, case studies, and industry insights in a structured, easy-to-digest format. 4️⃣ Make It Easy for Others to Refer You • If someone wants to recommend you, do they have high-quality links, a website, or a brochure they can send effortlessly? • Have an up-to-date portfolio, a polished LinkedIn profile, and a professional one-pager so people can confidently introduce you to their networks. Perception shapes opportunities. You might be amazing at what you do, but if your packaging doesn’t reflect that excellence, you’ll struggle to get the attention you deserve.
