Sheryl Newman - SharePoint shared thisMost companies we speak with are asking the wrong question about Copilot. They're asking: "Is it safe?" The real question is: "Are we ready for what it will expose?" Copilot respects your existing M365 permissions. It doesn't train on your data for other companies. Technically, it's secure. But what I've seen inside organisations this year tells a different story. The issue isn't security. It's governance. Copilot surfaces information people technically have access to but would never have found before. That 2019 marketing deck shared with "everyone in the company"? Now it shows up in search results. Financial models sitting in SharePoint with overly broad permissions? Suddenly discoverable. Here's what most people miss. Copilot results don't inherit security labels from the source files. According to Concentric AI's recent report: → 16% of business-critical data is overshared → Average of 802,000 files at risk per organisation "At risk" means violating GDPR's data minimization principle. Files accessible to people who don't need them. Which can trigger fines up to €20M or 4% of global revenue. GDPR enforcement hit €1.2 billion in 2025 alone. And studies show roughly 50% of employees have access to data they shouldn't. Copilot doesn't create the problem. It just makes existing permission chaos impossible to ignore. What I've noticed is that the organisations making progress aren't treating this as a Copilot problem. They're treating it as a data governance problem. They're running permission audits and finding files shared with people who left 2 years ago. They're implementing least-privilege access (GDPR Article 5 requires it). They're automating classification instead of hoping employees remember to do it. Because they've connected the dots. Better governance isn't just about making Copilot safer. It cuts audit prep time. It speeds up M&A due diligence. It reduces the risk of regulatory action before it happens. Microsoft 365 Copilot is a context-aware assistant that works with your Microsoft 365 data and your prompts need to reflect that. It's wired into your actual work life through Microsoft Graph. Your emails, Teams meetings, SharePoint docs, calendar. What works in ChatGPT can work in Copilot… But you'll get far better results if you help it leverage your work context. Here's what that looks like in practice: ❌ Bad Prompt "How can I improve operations?" Why it's bad: Too vague. No context, no constraints, no clear goal. Copilot will default to generic suggestions. ✅ Good Prompt "Suggest ways to improve operations for an e-commerce business struggling with delayed order fulfilment and customer complaints." Why it's better: Now Copilot has a clear problem and context so the output becomes more relevant and actionable. ✅ An even better more refined Prompt "Act as an operations consultant. Context: I run an e-commerce business experiencing delays in order fulfilment and rising customer complaints. Current challenges I am facing: Orders are shipping 3–5 days late Warehouse picking errors are increasing Support tickets related to delays are growing Goal: Improve fulfilment speed and reduce errors within 60 days. Task: Analyse the situation and recommend operational improvements. Include: Likely root causes Process improvements (warehouse, systems, workflows) Quick wins vs longer-term fixes Metrics to track Constraints: Limited budget, max 2 new hires. Output format: Summary Root causes Prioritised actions Expected impact KPIs" Why this works (for Copilot): A clear goal + context → better reasoning Defined constraints → more realistic outputs Structured format → easier to use answers Here's what most people we work with miss: 👉 The best results don't come from one perfect prompt. 👉 They come from refining your prompt based on the response. Copilot is designed for iteration, not one-shot answers. The prompt structure we use: Goal Context Background details Clear task Constraints Output format Each prompt is a bridge between your idea and the AI's execution. The more context you give, the better Copilot performs. If you've been using ChatGPT-style prompts in Copilot and getting mixed results This is probably why. Lisa, an FD I was catching up with recently, asked me a really honest question: why are our security communications being ignored? I asked her to show me what she did, and it became clear the challenge wasn’t the technology, but the way she was asking it to respond. She typed into Copilot : "Write a professional email about our new security policy" It returned 200 words nobody would ever read. Then I showed her how to quickly unlock value by: Telling it who you are and what you're trying to achieve. Being specific about your constraints and challenges. Letting it ask you questions instead of expecting miracles from vague requests. "I'm the finance director at a 50 person engineering firm. I need to email our team about new password requirements that start Monday. The team hates admin emails and usually ignores them. Our last security breach cost us three days of downtime. I need this to feel urgent but not scary." When we don’t feed AI the real context the nuance, the audience, the intent, the constraints it can only ever give us surface level or generic answers. But when we do? It stops sounding like AI. And starts sounding like you just sharper, faster, and more consistent. For many SMES like Lisa, the gap isn't the technology its an awareness, training issue and in many cases a confidence issue. 25+ years I've been helping companies to upskill and build confidence in teams using new and emerging tech. If you are currently paying for Copilot you are likely getting none of the ROI by sitting on unused capability. People need to understand what to do, where it can help and how to get the right responses. Get the foundations right, and show them how to use it. That's always the first place to start. Sheryl Newman - SharePoint shared thisCopilot just invented a colleague named Kevin Kevin didn't speak during our team meeting this morning. Kevin wasn't on the invite. Actually Kevin doesn't even exist. After our stand-up, my colleague asked Copilot "How did that meeting land?" The response was thoughtful. Structured. Useful. But then... "Kevin didn't speak, but you didn't make a thing of it." So he challenged it immediately. "Who is Kevin?" There is no Kevin. Not in the transcript. Not in the attendee list. Not in the chat. Just confidently invented. This is what AI hallucination actually looks like. Not obvious. Not absurd. Plausible. Well-articulated. And wrong. Most people think this is a tool problem. It's not. It's how you use it. When AI isn't given proper boundaries, when it's not connected to real data, when you ask open questions without rules it fills the gaps. Confidently. If we hadn't questioned Kevin, nothing dramatic would have happened. Just a small incorrect detail... accepted. And that's how risk actually shows up. Not as big failures. As believable mistakes that no one questions. This is exactly what keeps us up at night for companies who are just turning this on. You don't fix this by avoiding AI. You fix it by setting it up properly from the start. Clear boundaries on what it should and shouldn't guess. Connecting it to verified data sources. Training teams to write better prompts. And most importantly... questioning outputs every time. When we help clients implement these tools that's exactly what we focus on. Not slowing things down. But reducing risk and protecting the decisions that matter. Because next time Kevin won't just sit quietly. He'll have an opinion. I was reading a blog post by Jack Dorsey founder of Twitter yesterday afternoon where he suggests AI could take on much of middle management. - Tracking projects. - Moving information. - Keeping teams aligned. And he’s not wrong. AI can do that faster, better, and without the overhead. But here’s what’s missing. That coordination work was never the point of management. It’s what filled the gap when organisations didn’t adapt how managers actually work. This is exactly what we’re seeing as we help managers use AI day-to-day. AI gets introduced… But managers are still: - stuck in the detail - holding decisions - spending their time chasing updates - questioning the value of implementation Not because it’s necessary. Because it feels safer than letting go when you haven't been supported in the change. AI can track progress and flag risk. But it can’t: step back from the detail give people clarity to act build the confidence to make decisions without escalation That shift still sits with the manager. So for me AI isn’t replacing middle management. But it is removing the admin layer they’ve been operating on. The managers who stay in the weeds? That’s going to feel uncomfortable. The ones who use AI to create space and actually change how they show up? They’re the ones who move forward. Key takeaway AI will ultimately replace admin But it doesn’t replace judgement or critical thinking yet ;-) If everything still comes through you, AI hasn’t changed anything The real question isn’t “how do we use AI?” It’s “what do we do differently with the space it creates?” Link to the blog post if you are interested in comments below.

I’d read the strategies. and helped make them make sense for our clients and for my own business too. But I’d never been part of shaping one. So sitting in a room contributing to the vision for how the Scottish technology sector can be a world leader by 2035 with four areas of strategic importance was a big moment. Because for most of my career, I’ve been on the other side. Taking big ambitions and asking: How does this actually work in practice? What does this mean for real businesses? Where will this fall down? That’s the lens I’ve built my work around. And it’s the lens I brought into that room as part of the Scotland’s Technology Council. I’m grateful to Richard Lochhead for the opportunity and for the ambition behind it. And to the leaders in business, government and academia around the table many of whom I’ve long respected it was a privilege to listen, learn, and contribute alongside you. And the people in those rooms shaping direction, influencing what comes next. They didn’t feel like worlds I could move between. but it turns out I can. and so can you. The value isn’t in stepping away from the work to shape strategy. It’s in bringing the work with you. The lived experience. The trade-offs. That’s what sharpens the conversation and makes it more likely to hold up in the real world. It's also deeply rooted in collaboration and tapping into the capability in the room. That strength leads to greater impact for our country. And being part of the Scotland’s Technology Council has already made me a better founder. And reinforced the value of what we do every day which is helping ambitious SME leaders turn tech strategy into something that actually works in practice and is future ready. Between October and March, leaders from industry, academia and government were invited to work together to shape a strategy that balances ambition with application as part of the Government Scottish Technology Council. It was a privilege to be invited to contribute under the leadership of Richard Lochhead alongside the following individuals: Qammer H. Abbasi, CEng, FEAI, FIET, FRSE Michael Boniface Sherry Coutu CBE Jim Rowan Gerard Cunningham Peter Proud FRSE Sheila Flavell CBE Michael Rovatsos Ifor Samuel Melissa Terras MBE FREng Elizabeth Vega OBE DUniv Caroline Barelle and through a sub group with Kori Higgins Stevie Revill Ewa Luger Georgios chaired by Michael Boniface. A defining strength of this process was its genuinely collaborative nature and that input was actively sought from across sectors, with a clear emphasis on ensuring the strategy reflects not only policy intent, but the realities of delivery within organisations. The strategy sets out a framework to support Scotland’s ambition to lead in the responsible and inclusive adoption of AI. Whilst the official launch was today, the conversation will continue to shape and evolve under the leadership of Chris Boyland. Huge congratulations to Chris and his team who genuinely listened, sought opinions from within industry and who created an astute forward thinking policy which is practical, inclusive, and focused on real-world impact. Whilst the official launch was today, and as we now move into delivery of this policy I feel confident it will ensure that Scotland is ready to claim its place on the global AI stage. Nothing complicated just the things we already know, but don’t always do. In a world obsessed with optimisation, performance and doing more… she brought it back to foundations: Eat. Sleep. Move. Routine. Connection. Simple. Obvious. So easy to dismiss. But that’s the magic.. When everything feels off, we go looking for something complex to fix it when often it starts with coming back to what we can actually control. And that applies just as much at work as it does in life. I’ve said it a few times now, but honestly… Copilot in Teams meetings alone justifies the cost of the licence for me. ✅ I don’t take notes anymore ✅ I can actually be fully present in every meeting (wild, I know) ✅ I can ask Copilot questions during and after the meeting ✅ AI recaps – customised and audio options ✅ And it remembers things I definitely would have forgotten And that’s before you get into the potential of everything else it does or can be used for. The list just keeps getting bigger. Honestly, I'm gonna need a bigger meeting boat! That said… a lot of folks still aren’t getting that full value out of Copilot in Teams meetings. However, even if they do know all of the above there are still a few myths I hear all the time: ❌ “It doesnae recognise people's names or industry terms or acronyms” ❌ “It cannae tell who’s speaking in meeting rooms” ❌ “It's nae use for in‑person meetings without a Teams link” Right. Myth‑busting time. 🤯 ✅ Add custom dictionaries in Teams Admin Centre ✅ Use Intelligent Speakers & Voice Recognition in meeting rooms ✅ Use the Teams mobile app with Facilitator Agent for in‑person sessions Sorted. So yes - you can be fully present, let Copilot handle the admin, and leave meetings knowing what actually happened…without scribbling notes like you’re sitting your Higher exams again. Side Note: those meetings you have to decline because you can't be in two places at one time are also taken care of - you can now be OmniMeetingPresent™ There you go. Be present. Work smarter. Great to be part of a fascinating conversation with Jo Butlin, Roz Wisdom and Sarah Hopkins last Thursday to discuss the findings of the WUN - Womens Utilities Network research into culture in the utilities sector. We discussed how: 💧 there was a feeling of real intent and progress around improved policies and procedures within the sector to support women 💧 but there was still a gap between those policies and procedures and how it felt "on the ground" - so still more work to do on culture 💧 related to this, the critical role that leaders play in role modeling behaviours that enable an inclusive culture to develop 💧 how all of us can increase the levels of pyschological safety within our workplaces by being ready to admit when we get it wrong, acknowledging how much we still have to learn and sharing our vulnerability 💧 how companies and individuals need to jointly find great solutions to the need to support flexibility but also take advantage of the benefits of in-person collaboration. 🎮 Network Shield: Inspiring the Next Generation of Cyber Defenders! 🔐 We’re thrilled to share feedback from over 270 students across Guildford County School and George Abbot School who took part in our Network Shield pilot — a gamified experience introducing students to the world of cybersecurity. Key highlights from the pilot: 💡 76% said their understanding of cybersecurity improved after playing the game. 👩💻 75% felt they now better understand what network security professionals actually do. 🎯 71% believe that playing more career games like this would make them more confident about their future career choices. 🔥 57% said they’re now open to considering a career in cybersecurity! Students told us they loved learning through gameplay, solving challenges, and “putting themselves in others’ shoes.” Their feedback also gave us great ideas for improving graphics, tutorials, and gameplay variety, which will shape the next phase of Network Shield. 🎥 Check out this short testimonial from Guildford County School on how students responded to the game.
