Copy designs or files to another team or account
If you need to move designs, files, or folders between your personal account and a team workspace, or between two Canva accounts, this guide walks you through the best way to do it.

Check if you're copying between teams in the same account, or between different accounts
- Account: Your Canva login, connected to a specific email address. Each account has its own login credentials and profile settings and can be part of multiple teams.
- Team: A shared workspace where multiple people collaborate. You can switch between teams within your account by selecting your profile picture, then choosing a team under Switch team.
- Source: The account or team where the design currently lives before being copied or moved.
- Destination: The account or team that will receive the copied design after the transfer.
For example, if you move a design from your personal Canva account/team to your work or school account/team, the personal account/team is the source, and the work or school account/team is the destination. This applies whether the copying of files is between accounts or between teams within Canva.
- Unlisted media: Media created by editing tools (like Background Remover) that don’t appear in Uploads and don’t count toward your storage.
Steps to copy between teams in the same account
If you can access both teams by switching teams within your account, follow these steps:
- Log in to the source team. Not sure which team you're in? Learn how to switch between teams.
- From the source team’s homepage, go to Projects and find the design, file, or folder you want to copy.
- Hover over the item and select the More icon.
- Select Copy to Another Team (this option only appears if your account is part of two or more teams).
- Choose the team where you want to send the copy.
- Select Copy to confirm.
The copied design will appear in the destination team’s Projects.
You can only copy one item at a time. Repeat these steps to copy more.
Steps to bulk copy
To copy multiple items, move them into a folder first. Then copy that folder to the destination team.
This is only possible if you’re copying in bulk between teams, not across accounts.
Here’s how to move items into a folder:
- Make sure you're logged in to the source team. Not sure which team you're in? Learn how to switch between teams.
- From the source team’s homepage, go to Projects.
- Hover over each design, file, or folder and select the checkbox. You can select multiple items. Brand Templates can’t be copied this way.
- Select the Move (folder icon) button at the bottom of the screen. Choose where to move the items:
a. To an existing folder:
- Go to the All tab.
- Click Your Projects or Shared with You.
- Select the folder.
b. To a new folder:
- Go to the All tab.
- Click Your Projects.
- Select + Create new, name your folder.
- Click Move to new folder to confirm.
5. From your Projects page, find the folder you moved the items into. Hover over it and select the More icon.
6. Select Copy to Another Team (this option only appears if your account is part of two or more teams).
7. Choose the team where you want to send the copy.
8. Select Copy to confirm.
The copied folder will appear in the destination team’s Projects.
You can only copy one item at a time. Repeat these steps to copy more.
Steps to copy between different accounts
If you have to log out to access the other team, follow these steps:
- Make sure you're logged in to the source account and team. Not sure which account or team you're in? Learn how to switch between teams.
- From the source account, go to the Projects page for the team that owns the design, file, or folder.
- Hover over the item, select the More icon, then choose Share.
- Enter the email address of the account you want to copy it to.
- Set the permission to Can Edit, then select Share to confirm.
6. Log out of your current account, then log in to the one that received the shared design, file, or folder.
7. Open the shared item from your email or the Notifications icon in Canva.
8. From the editor menu bar, select File, then choose Make a copy to duplicate the item in your current account.
You’ll find the copy in the destination team’s Projects.
Who can copy content across teams
Only admins in Enterprise, Teams, Nonprofit, or Education accounts can manage this permission.
By default, only team admins can copy designs across teams. Admins can change this setting to allow Everyone to copy designs, or apply it to specific roles, groups, or classes.
In Canva Enterprise, team admins manage this permission for their team. Org admins can set the default for all teams and control whether team admins can override it.
Admins can manage this setting from:
Who can copy
- From the homepage, go to your account profile, then select Settings.
- Under Controls and permissions, select Permissions.
- Select Team content, then scroll to Copying Content.
- Set (Who can accept copied content from another team?) to your preferred option. You can Select Roles & Groups (Classes for Education teams) or select Everyone.
5. Set (Who can send copies of their content outside the team?) to your preferred option. You can Select Roles & Groups (Classes for Education teams) or select Everyone.

What content can you copy between teams or accounts
You can copy Canva designs, files, and folders between teams or accounts.
This includes both supported and unsupported design types, within the applicable document limits.
You can only copy items, not move them. The original stays in its current location.
What can’t be copied
- Audio
- Fonts
- Brand kits
- Comments within documents,
- Active Apps
- Unlisted Media
Content copy limits
To keep your workspace running smoothly, content copying is limited to:
- 2,500 document copies per day
- 10,000 items copied per day
- 10,000 items copied per job
