    Gas prices are rising again, but the bigger issue is how much they fluctuate. When costs swing, flat allowances and IRS rates can fall out of sync fast. If your mileage reimbursement program isn’t based on real data, you’re likely playing catch-up.

    Something interesting is happening this year from my seat... vehicle programs that worked well five or ten years ago are being re-evaluated. This is not because fleets don’t work, in many cases they absolutely do, but the environment around vehicle programs is changing. At Cardata we recently completed a market research study with 150 business leaders, which highlighted a few of the pressures organizations are navigating: Company-owned fleets can be about 30% more expensive than tax-free reimbursement alternatives when personal vehicles meet the job requirements. Taxable car allowances can lose 37¢ of every dollar to taxes. And 30% of eligible vehicle programs are expected to transition to personal vehicles by 2028. So the conversation we’re hearing from leadership teams is less about replacing fleets and more about making sure the program fits the job. In some roles, a fleet vehicle is absolutely the right solution. In others, reimbursement programs can be more efficient while still supporting drivers fairly. What’s changing is that vehicle programs are becoming a strategic decision, not just an operational one. Finance, HR, sales, and Ops leaders are all part of the conversation now. Personally, I am always a fan of re-evaluating new strategic decisions based on the data in front of me. When teams step back and look at the data together, the right approach usually becomes much clearer. Food for thought.
