We’re hiring a Client Operations Specialist (East Coast) to support our growing operations in skilled trades construction staffing.
This is a hybrid, high-impact role focused on coordinating recruiting, onboarding, compliance, and client operations to ensure seamless workforce deployment and execution.
Position Overview
This role will serve as the operational bridge between Sales, Recruiting, HR, Payroll, and Client teams. The ideal candidate is highly organized, detail-oriented, and experienced in managing complex workflows across multiple stakeholders and time zones. Approximately 25% travel is required to support client onboarding and site setup.
Key Responsibilities
Recruiting & HR Coordination
- Act as liaison between recruiting teams and client HR departments
- Coordinate interviews, candidate communication, and onboarding processes
- Confirm start dates, pay rates, bill rates, and credentialing requirements
- Prepare and distribute offer letters and onboarding documentation
- Ensure all new hire paperwork is completed accurately and on time
- Support orientation logistics and maintain onboarding records
Client Onboarding & Setup
- Manage end-to-end onboarding of new clients prior to worker deployment
- Coordinate execution of MSAs, work orders, vendor forms, and credit applications
- Collect and manage compliance documentation including W-9s and COIs
- Set up billing structures, contacts, and invoicing processes
- Document all client setup details in Salesforce
Project Launch Coordination
- Participate in job intake calls and confirm project requirements
- Validate pay rates, bill rates, overtime rules, and schedules
- Ensure compliance and onboarding completion prior to start dates
- Provide internal go-live confirmation for new client projects
Safety & Risk Setup
- Identify site safety contacts and escalation procedures
- Establish relationships with local occupational health clinics
- Document emergency procedures and injury reporting protocols
- Ensure alignment with workers’ compensation classifications
Ongoing Client Support
- Serve as point of contact for billing, timesheets, and compliance inquiries
- Monitor timesheet submission and resolve discrepancies
- Support invoice dispute resolution and payroll coordination
Qualifications
- 5+ years of experience in staffing, recruiting coordination, HR operations, or client onboarding
- Experience in construction or skilled trades staffing preferred
- Strong understanding of compliance, insurance documentation, and onboarding workflows
- Experience with ATS/CRM systems (Salesforce preferred)
- Excellent organizational, communication, and multitasking skills

Compensation
$75,000–$85,000 base salary + up to 10% annual performance bonus
