We are looking for a highly organized and proactive Executive Assistant to provide top-notch support to senior leadership in St. Augustine, Florida. This long-term contract position requires someone with strong attention to detail who excels at managing schedules, coordinating travel, and ensuring the smooth execution of executive-level tasks. Join our team and play a key role in enhancing operational efficiency.
Responsibilities: • Manage and maintain complex executive calendars, ensuring appointments and meetings are scheduled seamlessly. • Arrange and coordinate comprehensive travel plans, including flights, accommodations, and transportation. • Organize executive meetings, preparing agendas and gathering necessary materials for productive discussions. • Serve as a reliable point of contact for internal and external stakeholders, ensuring effective communication. • Monitor deadlines and follow up on tasks to ensure timely completion of projects. • Handle confidential and sensitive information with the utmost discretion and professionalism. • Provide administrative support by preparing reports, presentations, and correspondence as needed. • Assist in planning and coordinating events or special projects for the executive team. • Identify opportunities to improve processes and suggest solutions to enhance efficiency. • Maintain accurate records and documentation to support executive operations. • Proven experience as an Executive Assistant or in a similar administrative role. • Strong proficiency in calendar management and scheduling tools. • Demonstrated ability to coordinate complex travel arrangements. • Exceptional organizational and multitasking skills. • Excellent written and verbal communication abilities. • Ability to handle sensitive information with confidentiality and professionalism. • Proficiency in using office software, including Microsoft Office Suite. • High level of attention to detail and a proactive approach to problem-solving.
