On Site Personnel is seeking a highly organized, hands-on IT & Business Systems Administrator to manage and support our company’s IT infrastructure, systems, and day-to-day technical operations. This individual will serve as the primary point of contact for all IT-related matters, ensuring the reliability, security, and efficiency of our systems across multiple offices.
This role requires a proactive problem-solver who can handle both technical support and operational tasks, including system administration, cybersecurity, equipment management, backend software support, and light marketing/creative assistance.
Key Responsibilities
IT Systems & Infrastructure
Administer and manage Microsoft 365 environment (user setup, permissions, email security, spam/quarantine monitoring, OneDrive/SharePoint sync issues)
Maintain and troubleshoot network connections, internet, and Wi-Fi systems
Install, configure, and support computers, printers, scanners, and other devices
Serve as the main point of contact for all internal IT support and issue resolution
Coordinate with external IT vendors when necessary
Cybersecurity, Backup & Risk Prevention
Implement and manage cyber risk prevention strategies to protect company systems and data
Monitor and filter spam, phishing, and malicious email attacks
Manage and maintain antivirus, anti-malware, and endpoint protection systems
Ensure proper data backup procedures, including regular testing of backups and recovery processes
Prepare, implement, and continuously update IT emergency response and disaster recovery plans
Educate staff on basic cybersecurity awareness and best practices
User & Access Management
Create, maintain, and deactivate user accounts and access permissions
Keep secure and up-to-date records of usernames, passwords, and system access credentials
Manage and track software licenses and renewals to ensure compliance
Monitor system usage and enforce IT policies
Equipment & Inventory Management
Maintain a complete and accurate inventory of all IT equipment and assets
Track assignment, condition, and lifecycle of devices (laptops, desktops, phones, etc.)
Procure and set up new equipment as needed
Coordinate repairs, replacements, and upgrades
Systems & Operational Support
Set up, maintain, and troubleshoot time clock systems (including connectivity and syncing issues)
Manage and support phone systems and alarm/security systems
Provide support for internal business software and ensure proper functionality
Learn and become an expert in the company’s internal software systems to diagnose and troubleshoot backend issues
Act as the liaison between staff and software vendors for issue resolution
Administrative & Creative Support
Assist with printing, ordering, and preparing marketing materials (brochures, business cards, posters)
Utilize tools such as Canva and Adobe for basic design and edits
Support basic website content updates when needed
Coordinate with vendors for printing, internet, and office services
Required Qualifications:
3+ years of experience in IT support, system administration, or similar role
Strong knowledge of Microsoft 365 administration
Experience with network setup, troubleshooting, and device management
Familiarity with cybersecurity tools, antivirus, and email filtering systems
Ability to quickly learn and troubleshoot internal and third-party software systems
Ability to troubleshoot hardware, software, and connectivity issues independently
Strong organizational skills with the ability to manage multiple systems and priorities
Preferred Qualifications:
Experience with time clock systems and workforce management tools
Knowledge of VoIP phone systems and office security/alarm systems
Familiarity with Canva, Adobe, or basic design tools
Experience working in a multi-location or staffing environment
Basic understanding of domain management and hosting
Fluency in English & Vietnamese is a plus

Compensation & Benefits:
Salary Range: $65,000 – $80,000 annually (based on experience)
