Lead Qualification Before Email Outreach

  • I’m going to say what most sellers won’t: AI has made prospecting and earning executive meetings too easy. After 25 years in sales, I’m operating at the highest level of my career — not because I work more. Because I'm resourceful and use every tool at my disposal. Here’s my exact workflow that’s driving nearly a 100% success rate landing executive meetings in complex organizations: Sales Navigator pulls every executive I should engage. I create my own lists for newsletters and webinar outreach. Recently, a customer made a huge purchase that nobody on my team even spoke to; turned out, they were on all my webinars. Here are the prompts powering 80% of my prospecting: Prompt #1 – Executive Intelligence Compression Analyze this executive’s website, annual report, earnings call transcript, and LinkedIn activity. Summarize their top 3 strategic priorities, current challenges, tone of voice, and recurring language patterns. Identify 2 potential blind spots or emerging risks they may not be explicitly addressing. Prompt #2 – The 2-Sentence Hook Based on this executive’s priorities and tone, draft a 2-sentence hook that signals relevance, insight, and urgency — without sounding salesy. Use their language style. Prompt #3 – The Surgical Email Write a concise 2-paragraph outreach email (under 120 words) aligned to their mission and strategic priorities. Make it feel written specifically for them. Include a subject line optimized for open rate and curiosity. Prompt #4 – The Board-Level Angle If I were presenting to this executive’s board, what metrics and outcomes would matter most? Reframe my value proposition in board-level language. Prompt #5 – Objection Pre-Handling List the 5 most likely reasons this executive would ignore my outreach. Then rewrite my message to neutralize those concerns preemptively. Prompt #6 – Account Expansion Map Identify 5 adjacent executives inside this organization who would logically care about this initiative and explain why. What used to take me 2–3 hours per account now takes 15 minutes. AI didn’t replace the craft. It amplified it. It sharpened my pattern recognition. It accelerated my preparation. It increased my precision. Most sellers are still blasting generic emails. Meanwhile, AI lets you speak directly to what keeps an executive awake at night — in their own language — at scale. If you understand their perceived risk of change, and you understand their why, you can influence anything. The organizations people call “uncrackable”? They’re just under-researched. If you’re in sales and you’re not building AI into your daily workflow, you’re not competing against other reps. You’re competing against augmented operators. • Someone in the Newsletter Accelerator asked me: “If I use a lead magnet for my paid ads, how do I avoid attracting low-quality subscribers?” Here’s the exact system I use: The problem with lead magnets is that if you’re not careful, you end up with subscribers who only wanted the free asset. When that happens: • Open rates drop • Click-through rates drop • New readers don’t behave like real readers I’ve seen it firsthand. To avoid it, I design the funnel so Meta only learns from the right people from day one. Here’s the exact setup: 1. Start with a lead magnet that’s already proven I always validate lead magnets organically first. For Tyler Denk, we knew the beehiv seed deck would work because: • It performed well inside his newsletter • People on LinkedIn loved similar deck-style content If something works organically, it usually works in paid. 2. Add a simple qualification step in the signup flow Paid ads often bring in people who just want the free stuff. So I add simple qualifier questions to separate ideal readers from freebie-seekers: • For a retail newsletter: “Do you own a retail store?” • Brand strategy newsletter: “What’s your role? (Director/Manager/Junior)” • Coaching offers: “Do you have $5-$10K to invest in starting a business?” 3. Send qualified and unqualified readers to different thank-you pages This is the important part. After someone answers the qualification questions, I route them differently: • Qualified answer → Redirects to Thank You Page A • Unqualified answer → Redirects to Thank You Page B Only Page A fires the Facebook conversion event. Both groups still join your list, but Facebook is only trained on the right people. If you run niche B2B (retail operators, brand strategists, franchise owners, etc.), this matters a lot. One qualified subscriber can be worth 10–50x more than a random one. This is the easiest way to keep paid subscriber quality high and avoid building a list full of readers who never open, click, or become customers.

  • How it started: 4,000 cold emails sent. 1 lead generated. How it’s going: $4M+ ARR. Top 1% Agency Award. 30-person team. 6 lessons that turned my outreach campaigns from crickets to conversions: 1/ The list is the strategy Putting your message in front of the right person matters more than anything else. Many spend little time building their lead list, and a lot of time figuring out what to say. Do the opposite. Hint: You want to identify people/companies struggling with a problem you can solve. For example, we ran campaigns for an HR SaaS that helped with employee churn. We looked at Glassdoor reviews, and the average employee tenure. If employees stayed less than 18 months on average, + reviews were bad… we hypothesized the companies were a fit. 2/ Be as valuable as possible Most cold outreach try to get. “can I have 15 min of your time?” “can I pick your brain on… ?” But the best outreach gives. How to do that? Think about the first thing you would do for them if you signed them as clients. And do it already… for free. For example, I ran an outreach campaign targeting recruitment firms. I figured that the first thing I’d do for them, would be to build a list of Talent Acquisition Directors in companies hiring for 10+ roles. So I built the list. Sent it to them. Along with a tutorial of how I built it. It worked. 3/ Write for 1 person, then scale. Most try to build the biggest list possible and come up with a message that’ll appeal to everyone. But appealing to everyone = appealing to no one. When I start a new outreach campaign, I manually write 25 messages, 1 by 1, by looking at my prospect LinkedIn profiles. The beauty of doing it this way, is that you uncover patterns, that you can later on scale with the help of tech & AI. 4/ Fix your deliverability Good deliverability doesn’t guarantee you’ll succeed. But bad deliverability guarantees you’ll fail. Make sure to follow ‘best practices’ - < 50 emails per day per mailbox - SPF, DKIM, DMARC Setup - No open rate tracking - Secondary domains - Email warm-up … and send emails you’d want to receive. 5/ Pair cold email with other channels Cold email is a great channel to start with. It’s cheaper than paid ads, faster to get results than with content. But when you send cold emails, people check you out. Guess who’ll they trust more between your competitor who’s a ghost online vs. you who’s been posting valuable content on a consistent basis? 6/ Use the best Sales Software The outbound landscape keeps on changing. The best tools stay on top of the market, and ship new features constantly. In the cold email world, no one ships faster than Instantly.ai… (and I’m not saying that because they gave me this beautiful golden plaque, they’re simply the best) P.S: We wrote a 14-page guide that includes how our $4M ARR outbound agency books meetings using AI & Tech. Interested? Let me know below and I’ll make sure you get it :) P.S 2: Thanks Ada for the pic 📸

  • Here is everything we do before running a first cold email campaign. Day 1 — Domain and mailbox setup Purchase sending domains. Never use the main domain. Set up mailboxes. 3 mailboxes per domain. Configure SPF, DKIM, and DMARC on every single one. Start warm-up immediately. Day 2 — ICP audit I sit with the founder and go deep. Who is the exact buyer? What title? What company size? What industry? What buying signals do they show before they are ready to buy? Most founders think they know their ICP. Most are wrong. Day 3 — Lead list building Pull from Apollo or Instanly based on the ICP we defined. Run it through Clay for enrichment. Filter by buying signals — hiring, funding, tech stack, and recent news. Clean the list. Verify emails. Remove junk. Day 4 — Offer and copy Write the sequence only after the list is clean. Hook. Problem. Proof. CTA. Short. Relevant. Day 5 — Inbox placement test Test every mailbox before launching. If it is not landing in primary, we fix it before anything goes out. Most founders start sending on day 1. That is why most campaigns fail in week 2. Infrastructure first. Always. P.S. How long does your current setup take before the first email goes out? P.S.S. We help B2B SaaS founders get 30–60 qualified appointments in 90 days, guaranteed. Send me a DM, and I will share more details with you.

Outbound looks simple on the surface: Build a list. Send emails. Book meetings. But most outbound fails for one reason: 𝐛𝐚𝐝 𝐥𝐞𝐚𝐝 𝐝𝐚𝐭𝐚. Incomplete, outdated, or unverified contacts quietly kill reply rates and sender reputation. After testing multiple tools and workflows, I landed on a lead sourcing system that keeps outbound clean, fast, and scalable. No scraping hacks. No manual cleanup. No wasted sends. Here’s the exact workflow I run 👇 𝐒𝐭𝐞𝐩 𝟏: 𝐒𝐭𝐚𝐫𝐭 𝐰𝐡𝐞𝐫𝐞 𝐢𝐧𝐭𝐞𝐧𝐭 𝐚𝐥𝐫𝐞𝐚𝐝𝐲 𝐞𝐱𝐢𝐬𝐭𝐬, 𝐋𝐢𝐧𝐤𝐞𝐝𝐈𝐧 I build ICP searches in LinkedIn or Sales Navigator, focusing on titles, industries, company size, and geography. If targeting is off here, nothing downstream will fix it. 𝐒𝐭𝐞𝐩 𝟐: 𝐓𝐮𝐫𝐧 𝐋𝐢𝐧𝐤𝐞𝐝𝐈𝐧 𝐬𝐞𝐚𝐫𝐜𝐡𝐞𝐬 𝐢𝐧𝐭𝐨 𝐯𝐞𝐫𝐢𝐟𝐢𝐞𝐝 𝐥𝐞𝐚𝐝𝐬 Using Skrapp’s Chrome extension, LinkedIn profiles instantly become ready-to-use lead lists. Verified business emails. In real time. While I browse. No messy exports, no guesswork. 𝐒𝐭𝐞𝐩 𝟑: 𝐅𝐢𝐧𝐝 𝐦𝐢𝐬𝐬𝐢𝐧𝐠 𝐝𝐞𝐜𝐢𝐬𝐢𝐨𝐧-𝐦𝐚𝐤𝐞𝐫𝐬 𝐟𝐚𝐬𝐭 If I have a name and company domain, Skrapp’s Email Finder locates the professional email so I can reach the real decision-maker, not generic inboxes. 𝐒𝐭𝐞𝐩 𝟒: 𝐕𝐞𝐫𝐢𝐟𝐲 𝐛𝐞𝐟𝐨𝐫𝐞 𝐬𝐞𝐧𝐝𝐢𝐧𝐠 Before any email goes out, Skrapp filters invalid or risky addresses automatically. Lower bounce rates. Protected sender reputation. Better deliverability. 𝐒𝐭𝐞𝐩 𝟓: 𝐀𝐝𝐝 𝐜𝐨𝐧𝐭𝐞𝐱𝐭 𝐬𝐨 𝐨𝐮𝐭𝐫𝐞𝐚𝐜𝐡 𝐟𝐞𝐞𝐥𝐬 𝐡𝐮𝐦𝐚𝐧 Role, seniority, and company insights help emails feel intentional, not templated. That’s where replies improve. 𝐓𝐡𝐞 𝐫𝐞𝐬𝐮𝐥𝐭: ✔ Faster lead generation ✔ Cleaner data ✔ Higher reply rates ✔ Scalable outbound without manual work This is the workflow I use to keep outbound clean and scalable. I’ve been using Skrapp.io as part of this setup to avoid bad data upstream, and it’s made a noticeable difference. If outbound is part of your growth engine, this is the setup I’d run before sending a single cold email. 🔗 Skrapp.io

  • My B2B Cold Outreach Funnel Cheat Sheet (Claude prompts included): Most cold outreach in 2026 is dead on arrival. Average reply rates have sunk to 3-5%. AI-generated spam is flooding every inbox. But top performers still hit 15-25% replies. Here's the funnel they follow (with Claude prompts): 1. Define Your ICP - Pick 1 persona with a painful problem. - Prompt: "Act as a B2B strategist. Build an ICP for [service]. Include pains, triggers, and objections." 2. Build a Tight List - 50-100 prospects max per campaign. - Smaller lists get 2-3x higher replies. - Prompt: "List 10 data points to qualify prospects for [ICP]." 3. Research Buying Signals - Funding, hiring, new tools, leadership changes. - Signal-based emails get 5-18% reply rates. - Prompt: "Analyze this company's recent news. Find 3 outreach angles: [paste info]." 4. Write the First Email - Under 125 words. One clear CTA. - Reference the signal, not their first name. - Prompt: "Write a 100-word cold email referencing [signal]. Connect it to [pain]. End with a soft CTA." 5. Sequence Multi-Channel - Email + LinkedIn + phone = 40% more engagement. - Plan 8-12 touchpoints per prospect. - Prompt: "Build a 14-day sequence across email and LinkedIn for [ICP]." 6. Follow Up with Value - 80% of replies come from follow-ups. - Share a case study, audit, or insight. - Prompt: "Write 3 follow-ups. Each adds new value. No 'just checking in.'" 7. Handle Replies Fast - Respond within 1 hour when possible. - Speed wins deals. Period. - Prompt: "Draft a reply to this objection: [paste]. Keep it short and book the call." 8. Track & Adjust - Watch replies, meetings, and revenue. - Ignore opens. They're vanity now. - Prompt: "Analyze these campaign stats. Tell me what to fix first: [paste]." --- I've run outreach for 15+ years. Volume stopped working a long time ago. Precision and signals win in 2026. Claude makes the research 10x faster. But the strategy still has to be yours. --- What's your cold outreach reply rate? ♻️ REPOST to help others book more calls. P.S. • I spoke to a PE managing director last quarter who had received 31 direct outreach messages from senior executives in the prior 10 days He had responded to none of them Not because the executives were weak He pulled three profiles while we were talking Strong operational backgrounds Real P&L experience Legitimate sector credibility He passed on all three for the same reason Every message led with where the executive had been Title. Tenure. Team size "Show me where you're going, not where you've been" is what he told me I spent 25 years as a PE principal I know what happens to these messages They stop at the associate level on a good day Here is what PE partners need to see before they agree to a first conversation: the sector you operate in, the specific company profile where you create the most value, and the EBITDA you move in the first 100 days...and the proof points Not where you have been What you will produce next Your track record is the proof Your thesis is the authority PE firms hire

Over the past 9 years, I’ve acquired 1,000+ clients for my agencies. If I were starting over today, here’s exactly how I’d land my first 10 clients: Step 1: Start with the right data The biggest challenge when starting out? Finding highly targeted prospects who are ready to buy. Here’s how I’d solve that: Google Maps. Yes, I said Google Maps. Why? Because it’s an untapped goldmine for qualified leads. With over 4,000 B2B categories, it’s packed with local businesses and SMBs often overlooked - or missing - from LinkedIn. These are hidden gems waiting to be discovered. Scrap (https://scrap.io/s/9MYK) transforms this goldmine into actionable leads by extracting from Google Maps listings: - Emails, phone numbers, & websites - Social media profiles - Website technologies - Even Google Maps ratings & reviews Filter and focus on your ideal targets in just 2 clicks. For example: - Restaurants with 4+ ratings but no Instagram. - Local businesses with websites but no ad pixels. - SMBs in specific niches or locations. Scrap’s real-time data extraction ensures you always have the most accurate info - and it’s available as a Chrome Extension for instant insights. Step 2: Personalize your outreach Generic outreach doesn’t work - relevance is everything. Try this playbook: - Subject Line: Use something attention-grabbing like “Quick question about [business name]” or “Idea for [service].” - Personalize: Reference their Google Maps reviews, website, or niche. For example: “Congrats on your 4.9-star rating - I can see why people love your café.” - Partner Up: “I help cafes like yours boost foot traffic through email marketing. I noticed a few opportunities I’d love to share.” - CTA: End with a low-pressure ask: “Does this sound worth exploring?” Pro Tip: Pair the emails from Scrap (https://scrap.io/s/9MYK) with LinkedIn outreach - connect or engage with their posts to build trust. Step 3: Stay consistent and scale your efforts Build momentum through persistence: - Follow Up: Most responses come after the 2nd or 3rd touch. Example sequence: Email → LinkedIn connect → Follow-up email → Call. - Track Metrics: Monitor open rates, replies, and booked calls. Aim for a 20%+ email response rate and 10%+ meetings booked. - Leverage Referrals: Once you’ve landed a few clients, ask, “Know anyone else who might benefit?” and share testimonials like, “We helped a local coffee shop grow foot traffic by 20% in 30 days.” - Automate: Use Scrap for fast lead gen and a CRM to manage outreach. Recap: - Use Scrap (https://scrap.io/s/9MYK) to turn Google Maps into a lead-gen machine for local businesses, SMBs, and niche prospects. - Personalize your emails with insights and a clear CTA. - Stay consistent by following up, tracking results, and leveraging referrals. - And remember: Your first 10 clients lay the foundation for scaling. #ScrapPartner

Your prospect says: "We need a new sales platform because we want to grow the business." What happens next determines whether you're average or elite. AVERAGE REP: "Great! Let me tell you about our features..." (You’ve ALREADY lost if this is how you answer) (Let’s watch an elite rep handle this now…) ELITE REP: "Grow the business?" [waits in silence] PROSPECT: "Yes, we need to increase revenue by 30% this year." ELITE REP: "Why is hitting that 30% target so critical right now?" PROSPECT: "We need it to secure our Series C funding." ELITE REP: "What would missing that target mean for the company?" PROSPECT: "We'd have to delay expansion and possibly cut headcount." ELITE REP: "And for you personally, what would it mean to secure that funding?" PROSPECT: "My equity would finally be worth something. Plus, I'd prove to the board they made the right choice promoting me to CRO." ELITE REP: "So if I understand correctly, you need to grow 30% to secure Series C funding, which would both protect your team from layoffs AND potentially make your equity worth seven figures while cementing your position as CRO. Is that right?" PROSPECT: "Exactly. So how can you help us?" THIS is the difference between qualification and transformation. After coaching thousands of reps, I've found that most never get past the first layer of discovery. They treat prospects like a checklist rather than an onion. The fortune is in the follow up questions. My CHAN Code for ethical influence has three simple steps: 1. Ask an open-ended question 2. Go DEEP with the RIM framework (Relevance, Impact, Motive) 3. Repeat back as a question for understanding When you master this process, you transform "we want to grow" into concrete business and personal impact that makes it impossible for prospects to ghost you. The hardest territory to manage isn't your CRM. It's the six inches between your prospect's ears. — Sales reps… want me to break down the Wolf of Wall Street’s B2B discovery session?
